Event Management Guide

Trinity Scheduling Planning And Calendaring Events, or "T-SPACE", is a campus-wide calendaring and room reservation system. It allows faculty, staff, and student groups to view the usage, layout, seating arrangement, audio/video equipment, and photos of classrooms and many other spaces on campus. Moreover, you can view scheduled events, search available dates, and request reservations - all from one place.

Submit your reservation request

  • Login to T-Space using your Trinity Network credentials.
  • To reserve a room and submit an event, select the second tab at the top that says “Event Wizard”. This will bring up a form for you to fill out. Fill in as much information as possible, as these details can also be used for marketing purposes. 

Event Details, Resources, and Attachments

  • Description: Please enter a robust description, as this description may be used if your event is published to the website, and potentially for other promotional materials.
  • Resources: Make sure that you use the resources section of the form to select your resources, as this will make sure that resources are not overbooked.
  • Attachments: There is a section called attachments, this section will allow you to upload files, please use this to attach any headshots, room layouts and any further documents you would like tied to your events.
  • Internal Notes: The internal notes section is where you write notes to the scheduler such as room set up, facilities set up and if you would like your event to be published to the website.

Reservation Confirmation

Your scheduler will follow up to let you know that your event and room have been confirmed. Submitting a request does not guarantee that your space is reserved. Reservations will be confirmed by a scheduler no more than a week after a request is submitted.

Contracts, Special Requests, and Technical Needs

  • If your event requires a contract to be signed, make sure to check in with Risk Management.
  • If you have a special request for set up of your resources, contact Facilities Services.
  • For any technical needs, contact Academic Technology.
